Toku Contractor simplifies global contractor onboarding with compliant contracts, automated workflows, and built-in verification.

Adding a Contractor

Navigate to Contractors

Click Contractors in the sidebar

Click Add Contractor

Select Add Contractor to start the onboarding process

Enter contractor details

Fill in the contractor’s information:
  • Full legal name
  • Email address
  • Country of residence
  • Engagement type (hourly, fixed, retainer)

Configure engagement terms

Set up the engagement:
  • Start date
  • Rate (hourly, daily, or fixed)
  • Payment frequency
  • Payment method preference

Generate contract

Review and customize the contractor agreement

Send invitation

Send the invitation to the contractor to complete onboarding

Contractor Information Required


Engagement Types

Hourly

Contractor bills based on hours worked. Best for ongoing work with variable hours.

Fixed/Project-Based

Set fee for a defined scope of work. Best for discrete projects with clear deliverables.

Retainer

Recurring monthly fee for ongoing availability. Best for advisory or on-call arrangements.

Contract Generation

Toku generates compliant contractor agreements based on:
  • Contractor’s country
  • Engagement type
  • Your organization’s preferences

Customizing Contracts

You can customize:
  • Scope of work description
  • Confidentiality clauses
  • IP assignment terms
  • Termination provisions

Electronic Signature

Contracts are signed electronically by both parties and stored securely in Toku.

Contractor Onboarding Flow

After you send the invitation, the contractor:
  1. Receives invitation email
  2. Creates their Toku account
  3. Reviews and signs the contract
  4. Provides payment information
  5. Completes any required verification
  6. Is marked as “Active” in your system

Bulk Onboarding

Onboard multiple contractors at once:
  1. Navigate to Contractors > Import
  2. Download the CSV template
  3. Fill in contractor details
  4. Upload the completed file
  5. Review and confirm
