Overview

Once contractors are onboarded, use Toku to manage their engagements, update terms, and maintain contractor records.

Contractor Dashboard

View all your contractors in one place:
  • Active — Currently engaged contractors
  • Pending — Invited but not yet completed onboarding
  • Ended — Past engagements

Contractor Profile

Each contractor profile shows:
  • Contact information
  • Engagement details and terms
  • Contract documents
  • Invoice history
  • Payment history

Updating Engagement Terms

Navigate to contractor profile

Click on the contractor’s name in your list

Click Edit Engagement

Select Edit next to Engagement Details

Update terms

Modify rate, payment frequency, or other terms

Generate amendment

If required, generate a contract amendment

Get contractor signature

Contractor signs the amendment electronically

Common Actions

Extend Engagement

To continue working with a contractor past their original end date:
  1. Go to contractor profile
  2. Click Extend Engagement
  3. Set new end date
  4. Confirm

Change Payment Method

Contractors can update their payment method in their portal, or you can request a change:
  1. Go to contractor profile
  2. Click Request Payment Update
  3. Contractor receives notification to update their details

Put on Hold

Temporarily pause an engagement:
  1. Go to contractor profile
  2. Click Actions > Put on Hold
  3. Select hold reason
  4. Contractor is notified

Ending Engagements

When a contractor engagement ends:

Process final invoice

Ensure all outstanding work is invoiced and paid

Navigate to contractor profile

Go to the contractor’s profile

Click End Engagement

Select Actions > End Engagement

Set end date

Confirm the last day of the engagement

Confirm termination

The contractor is moved to “Ended” status

Re-engaging a Contractor

To work with a past contractor again:
  1. Find them in the “Ended” list
  2. Click Re-engage
  3. Set up new engagement terms
  4. Send new contract for signature

Contractor Communication

In-App Messaging

Send messages to contractors directly through Toku.

Notifications

Contractors receive notifications for:
  • Invoice approvals
  • Payment processing
  • Contract updates
  • Rate changes
