Overview

Submit invoices through Toku to get paid for your work. Your client will review and approve your invoice before payment is processed.

Creating an Invoice

Navigate to Invoices

Click Invoices in the sidebar

Click New Invoice

Select Create Invoice to start a new invoice

Select the client

Choose the engagement this invoice is for

Enter invoice details

Add the invoice information:
  • Invoice period (dates covered)
  • Description of work performed
  • Hours worked (if hourly)
  • Any additional line items

Attach documentation

Upload any supporting documents (optional):
  • Time logs
  • Deliverables
  • Receipts for reimbursables

Review and submit

Review the total and click Submit Invoice

Hourly Engagements

For hourly work:
  1. Enter total hours worked
  2. Your rate is automatically applied
  3. Add descriptions for each task or day
  4. Attach time logs if required

Time Tracking Tips

  • Track hours daily for accuracy
  • Note what you worked on
  • Keep any time logs organized

Fixed/Project-Based

For fixed-price work:
  1. Reference the project or milestone
  2. Enter the agreed amount
  3. Describe what was delivered
  4. Attach deliverables if required

Adding Expenses

If your engagement includes expense reimbursement:
  1. Click Add Expense Line
  2. Enter expense description
  3. Enter amount
  4. Attach receipt
  5. Expenses are added to your invoice total

Revising an Invoice

If your client requests changes:
  1. Go to the invoice
  2. Read the client’s feedback
  3. Click Edit Invoice
  4. Make the requested changes
  5. Resubmit for approval

Best Practices

  • Submit promptly — Don’t wait too long after work is completed
  • Be detailed — Clear descriptions help approvals go faster
  • Include documentation — Attach time logs or deliverables
  • Follow the schedule — Submit on your agreed invoicing schedule
